Job Summary:

We are seeking a highly organized, committed, and proactive Office Manager who will be responsible for various daily administrative duties of the company. This role is key in ensuring that our Irvine office runs smoothly and efficiently while supporting multiple departments including R&D, regulatory, quality, finance, HR and sales & marketing. The ideal candidate will have prior experience as an office manager, office administrator, or executive assistant, and is comfortable multi-tasking in diverse and fast paced collaborative environment. Experience in biotech, medical device, or a similarly regulated environment is a plus.

 

Job Responsibilities:

  • Support the CEO and the Executive Team in daily administrative matters, clarifying, coordinating, communicating, and disseminating information on behalf of the CEO and the Executive Team, and serve as central administrative point-of-contact for the CEO and the executive team; interact with all levels, both internal and external personnel, to achieve goals.
  • Organize, prioritize, and coordinate the CEO and Executive Team’s complex calendar with authority to commit time, coordinate scheduling of intricate meetings both on-site and off-site, and lead planning and completion of administrative arrangements for high level meetings and special events.
  • Review documents submitted for the CEO and the Executive Team signature for completeness and accuracy, as well as composing correspondence for management and own signature including sensitive personnel information, reports, agendas, and memoranda.
  • Support coordination of team meetings, executive calendars, and travel arrangements.
  • Provide administrative support to various teams with administrative tasks
  • Help support onboarding of new hires / expats (re-location support, international income tax compliance support, insurance assurance support) and interface with HR department as needed
  • Assist in organizing and filing production records, quality documents, and regulatory paperwork (digital and physical).
  • Ensure filing systems (physical and digital) are organized and secure
  • Maintain office supplies and manage procurement of lab consumables and production materials in collaboration with purchasing.
  • Interface with facility vendors and manage basic office maintenance requests and service contracts.
  • Oversee front office operations including greeting visitors, answering phones, and handling general inquiries.
  • Help maintain cleanliness and compliance of common areas in coordination with lab and production staff.
  • Handle incoming and outgoing mail and packages.

Minimum/Required Qualifications

  • Experience in an office administration or operations support role; biotech, medical device, or laboratory environment preferred.
  • Excellent organizational skills and ability to prioritize in a dynamic work setting.
  • Strong communication skills—both written and verbal.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and cloud-based collaboration tools.
  • Detail-oriented, resourceful, and capable of working independently and with a team.
  • Associate or bachelor’s degree preferred.

Additional/Preferred Qualifications:

  • Familiarity with regulated environments (e.g., FDA, ISO 13485, GMP) is a plus.
